Our customers often ask us what impacts their quoted price for our event hire.
In this blog post, we will explain the many different factors that can affect the price we quote you and go into further detail about each of these factors as well.
This is one of the biggest factors when it comes to quoting a price for your booking. There are three separate brackets that we use which are: Smaller Events (100 people and under attending), Medium Events (101 people to 200 people attending) and Large Events (201 + people attending).
The reason we quote a higher price for a larger group is that we have to factor in our own staffing costs. We need to make sure there is a suitable ratio of Schools Plus on-site staff factored against the number of guests attending the event. We do this so there is always someone available to help you and offer support to other team members as well.
Closely related to the Number of Attendees factor is the size and quality of the room you’re booking. A larger room will lead to a higher price quoted as more people are able to attend. This works the same for the quality of the room and the equipment available, as the more modern it is, the more in demand it will be.
Please be aware that for locations where the demand for space is exceptionally high, such as Central London, then your quoted price is potentially higher than in other areas where the demand for space is lower, such as rural parts of the country.
We will ask you if you plan on serving hot food at your event. The reason for needing to know this is because serving hot food creates risk in the form of potential fires or accidents and it will also create more mess and extra cleaning needed to be carried out by our staff.
The more risk and the more hours needed to be worked by our staff will factor into a higher price being quoted for your event. Please note that some venues will not allow hot food to be served which will be discussed with you in advance.
Also important to note is that we do not allow lettings of our School’s Kitchens, so all food must be brought on-site ready-made or ready to eat.
There are a variety of car park sizes and accessibility across our Partner Schools, so we will check how many cars you plan on bringing to your event. If the volume is high, we will factor this into the price of your booking.
Some of our venues and facilities will have optional extra equipment that can be used for your event. These can include projectors, screens, sound systems as well as additional tables and chairs. Using this equipment will be factored into the cost as there is a potential risk of breakage and takes time to set up.
We will also ask if you intend to play music as sometimes this isn’t always possible. It will depend on how close the School is to local houses. Some Schools will have various noise curfews that will impact certain events.
If a School allows Amplified Music, then we factor this into the price. Our reputation with our Partner Schools and their local communities is very important to our business.
During our event vetting process, we will enquire if your event is a commercial or community (also classed a private) booking. For any events selling tickets, we class this as a commercial event and will therefore be priced differently to those that are private.
